Timeline for Annual Charter Renewal
Note: the Charter Renewal Date for all Interact Venturing Units is December 31st of each calendar year.
- Ninety days before the charter renewal date (October 1), the professional Scouting Representative to the Rotary Club renews the annual charter with the President of the Rotary Club. During this visit, they (a) discuss the success and needs of the unit, (b) review the role of the Interact/Venturing unit and the local Boy Scouts’ council and (c) consider key unit personnel to determine replacements, additions and recognition (Interact Faculty Advisors, Rotary Club New Generations Representative, adult advisors and volunteers.)
- Sixty days before the charter renewal date (November 1), the Boy Scout Commissioner and the Rotary Club conducts a membership inventory of youth and adults. Contacts or visits should be made to inactive youth and adults. Every effort should be made to recruit additional youth and adults so the unit reregisters with no loss in membership. This effort is coordinated with the Interact Club’s on-campus membership recruiting.
- Sixty to forty-five days before the charter renewal date (November 15), units choosing to renew their charters online will visit the local council’s web site, complete the steps through the submittal process, and print a revised charter renewal application.
- Forty-five days before the charter renewal date (November 15), the Boy Scout Commissioner and the Rotary Club conduct the charter renewal meeting, which includes identifying youth and adults to reregister, completing forms, and collecting fees. The Rotary Club President approves all volunteers and certifies the youth to be registered. (Completing the Interact/Rotaract Registation Form, Youth Application and Adult Application Forms.) Participants of the meeting should include the Boy Scout Commissioner, the Rotary Club New Generations Representative, the Rotary Club President, the Interact Faculty Advisor and all other adult unit volunteers.
- Fifteen days before the charter renewal date (December 15), the Boy Scout Commissioner submits the completed charter renewal application to the council service center.
- Thirty days after charter renewal (January 31st), a formal charter presentation is conducted at the Interact Club meeting.
